Sales Ledger
The Sales Ledger is included in MCA as part of the core accounting package. Revenue is an extremely important part of any company and the MCA's Sales Ledger module allows control of cash flow to be easily and accurately maintained.
Both normal invoiced sales and construction specific sales are catered for with all documents (invoices, credit notes and applications) able to be produced from the system.
We have taken great care to make MCA's Sales Ledger extremely flexible. Few assumptions are made regarding the set up of individual contractors, sales ledgers and sales processing. The module has sophisticated transaction templates which allow us tailor the MCA Sales Ledger to fulfil your exact requirements.
Our Sales Ledger module retains both customer and billing information. It maintains a database of information on each customer that can be accessed and updated at any time.
Invoices and applications for payments update all modules within MCA giving real-time visibility of sales against Job/Contract and ensuring accurate reports can be obtained at any time.
Client Maintenance
MCA's Sales Ledger is based on the maintenance of a unique client records. The record provides immediate access to:
- Customer details, covering contact information, payment terms, VAT information
- Bank details, with agreed methods and periods for payment
- Customer ledger entries showing transaction history
- Contract information including agreed retention/discount rates
- Customer Details
Static details for customers are maintained including payment method, due dates, bank accounts and contact details. Each customer has a unique identifier that is referenced throughout the MCA.
Application / Invoice Input Routine
The recording of applications / invoices is handled by users entering values within the system. The invoice number and due date are automatically generated by the system. Retention, discount and VAT rates are automatically calculated but can be maintained and configured per contract. Applications / invoices can either be entered against one contract; or can cover multiple contracts allowing for one document to be produced. The values entered are posted to enable updates across all MCA modules.
Our Sales Ledger provides the facility to put invoices on hold. This is in recognition that sometimes invoices are rescheduled or payment deferred e.g. when awaiting a credit note. This functionality allows for the adjustment of notes and due dates once the batch has been entered.
We have developed straightforward import routines to allow integration with 3rd party applications. This facilitates invoices created through 3rd party applications (e.g. Weighbridge Ticketing Applications) to be easily imported into the MCA Sales Ledger.
Updates
Contract sales transactions automatically update the Contract Ledger allowing the profit/loss to be viewed at any time.
Security
We recognise the sensitive nature of company information so MCA has been developed with extensive security levels available, ensuring only authorised personnel have access. This security is carried over for reporting. Security levels can be set for every user and for each item within the module ensuring sensitive company information is protected.
Reporting
All the necessary reports are available including transaction list, age debtors and due listing. Bespoke reports can also be set up and saved. A key feature within MCA is our complete transaction archive, this means that no transaction is ever deleted and a full audit trail is available for every transaction. As with all MCA modules, extensive reporting in multiple formats is available within our Sales Ledger module. All reports can be stored as PDF documents and also include a "1-Click" to Excel feature.
